Executive Assistant

The Executive Assistant will partner with XXImo’s Leadership to effectively manage the business cadence for the company and provide high level administrative and tactical support to our leaders. This role is essential in enabling the Leadership to scale up by managing day to day & mid-term activities and creating the space for them to work on long term strategy.
 
This role will be fully responsible for ensuring the Leadership is aware of deliverables and their timelines and communication is cascaded up & down as needed.
 
This position requires strategic thinking and business acumen as well as the ability to develop processes to facilitate short and long term planning and execution. Building and maintaining strong stakeholder relationships, both internal and external, are a key aspect of this role. Must be skilled in cross-group collaboration at all levels with excellent communication skills and be comfortable operating in a fast-paced environment.
 
Role & Responsibility

Executive partnering
 
  • Be a trusted advisor on individual and team dynamics.
  • Partner directly with the CEO to prioritise his/her activities based on the business priorities.
  • Create, maint
  • ain & influence relationships with both internal and external stakeholders to support business activities
  • Full ownership of the CEO’s calendar. Clear alignment on the business priorities, interdependencies and needs of the CEO and the business
  • Inbox management: organizing inbox, replying to emails, picking up tasks from their email
  • Has regular touch points with the Leadership Team members - partnering to agree approach to improvements for accountability, ownership, and general delivery/follow-up of the management priorities
  • Fully responsible for all tasks that are designed for delegation. (SD Worx, MS Teams, etc..)
  • Responsible for writing meeting minutes of Leadership Team meetings and keeping track of the execution of agreed upon actions
  • Be aware & adhere to the budget policies
  • Oversee the planning of business trips/travel needs for the Leadership Team (e.g. logistics and visas, including coordinating itineraries across multiple stakeholders and gathering/developing/collating preparation materials for meetings/presentations.)
  • Facilitate process for signatures for the CEO.

Project management & Communications
 
  • Identify areas of improvements and work with internal stakeholders to manage the change.
  • Upon request, review and advise on language, channel and overall content of outgoing communications.
  • Assist in end to end planning of meetings and events. This can include but is not limited to offsites, all-hands, Q&A's and working sessions.
  • Partner with Internal Communication in planning, organising and executing communication initiatives. Facilitates a strong connection between Internal Communication and the respective leader/department, allowing them to understand short-term and long-term opportunities for communications.
  • Act as the leaders eyes and ears, identifying areas of concern or of good opportunity to utilise internal comms.
 
Knowledge, expertise & competencies

 

  • 5-8 years relevant experience e.g. administration/ operational/ business support/executive assistant, preferably in a multinational organization.
  • Creative and ‘out of the box’ thinking in order to proactively drive business.
  • People oriented; strong relationship and stakeholder management skills, and able to engage with people across all levels, and from diverse backgrounds.
  • You seek to understand before you act. You take the time to check both the ‘what’ and ‘why’ in ambiguous situations.
  • Highly organised with excellent planning skills. You take ownership and proactively solve problems, often before it reaches the CEO.
  • Exhibit a strong attention to detail, ability to adapt to daily schedules and routines, and focus on efficiency without sacrificing quality.
  • Excellent communication. Fluent in English, verbal and written.
  • Comfortable with ambiguity and flexible in prioritising and making decisions without having all the information.
  • Strong ethics and can handle confidential matters with discretion. You cultivate and promote the XXImo values and culture within the organization.
  • Support with other tasks as may be required.
